Administrator - Investigations & Diagnostics

About the role 

Day to day you will be responsible for a range of administrative duties in relation to our investigation and diagnostic referrals. You will be working with a broad range of services from MRI scans and X-Rays to Orthopaedic referrals and Pain Management. You will be responsible for ensuring that files are created swiftly and accurately when patients are referred to us and that subsequent reports and correspondence in relation to their care are processed diligently.  You will be working as part of an existing small team of administrators working across two income streams with the option to cross train following successful completion of your probationary period.

Key responsibilities


  • Entering Diagnostic referrals onto our bespoke case management system, determining the required treatment from supporting medical evidence and ensuring the referral meets the correct criteria.
  • Issuing estimates for treatment to instructing parties.
  • Submitting referrals to our approved suppliers, via email and online portals.
  • Review completed diagnostic images and reports, ensuring the results match the requested scans.  
  • Maintaining stored records in accordance with GDPR.


  • Entering Investigation referrals onto our bespoke case management system, determining the required treatment from supporting medical evidence and ensuring the referral meets the correct criteria.
  • Researching suitable Consultants.
  • Reviewing completed clinic letters, determining the required treatment, and obtaining costs for the same.
  • Issuing estimates for treatment to instructing parties.


  • Answering general enquiries, both to our central email inbox and via telephone.
  • Liaising with patients, instructing parties and suppliers using written and verbal communication. 
  • Raising invoices to customers, and processing supplier invoices.
  • Building effective working relationships with colleagues, providers and customers. 
  • Adhering to company values and departmental SLAs.

  • Conscientious with a meticulous approach to dealing with details.
  • Educated to GCSE level or with equivalent professional experience.  Previous office experience is desirable but not essential.
  • Excellent verbal and written communication, proven excellence in customer service.
  • Excellent IT Skills including Microsoft packages & system databases.
  • A flexible approach with an ability to adapt quickly to meet the demands of a busy environment; a positive ‘can do’ attitude.
